How KumulAwards intends to handle public website, account and awards-program information.
Current status
This public website is operational and accepts contact and demonstration enquiries. This privacy notice remains an implementation draft and must be legally reviewed before broader commercial client onboarding.
Information that may be collected
Depending on the service used, KumulAwards may process contact information, account identity, organisation details, award entries, uploaded files, judging records and administrative activity.
Purpose of processing
Information may be used to operate awards programs, authenticate users, assign roles, manage submissions, support judging, generate reports, respond to enquiries and maintain platform security.
Client responsibilities
Each client organisation remains responsible for defining its own award requirements, lawful collection purposes, participant notices, retention expectations and authorised users.
Access and security
Access to private program information is restricted through authentication, tenant membership and role-based authorisation. Privileged platform support requires stronger controls.
Retention and deletion
Public contact and demonstration enquiries are normally retained for up to 24 months from submission. Enquiries marked closed are retained for 12 months from closure, while records marked as spam are retained for 90 days. Unlinked rejected-submission and rate-limit security events are retained for 90 days.
Records subject to a documented legal, contractual or security hold are excluded from routine deletion. Cleanup is currently a controlled manual process requiring a dry run, a verified database backup and an auditable deletion record.
These periods may be extended where required by law, an active dispute, a security investigation or a documented contractual obligation.
